Refund & cancellation policy

Scope

This policy applies to paid trade marketing services from Systemsignalbase Trade Marketing, including promotional kit design, display asset production, seasonal campaign packs, print-ready artwork production, multi-retailer asset versions, and asset production training. It does not cover retail merchandise for resale, e-commerce products, or online checkout purchases — we do not sell those through this site.

Eligibility

Refunds are considered when we cancel an engagement we cannot deliver, when a confirmed service is not provided as described in the written confirmation through our fault, or when a cancellation qualifies under the timeframes below. Website form submissions without a confirmed engagement are not charges and need no refund.

Timeframe

Cancellation requests should be sent in writing to hello@systemsignalbase.digital. For scheduled design sprints, production management, or training, notice at least seven (7) days before the confirmed start date is generally required for a full refund of prepaid service fees, minus any non-refundable third-party costs already committed with your approval.

Full and partial refunds

If you cancel seven or more days before the start date and work has not begun, prepaid fees for unused services are typically refunded in full, excluding approved third-party commitments. Cancellations between three and six days before the start may receive a partial refund of up to fifty percent (50%) of prepaid fees for unused portions. Cancellations with less than three days’ notice, or after design or production work has started, are generally non-refundable for the portion already underway.

Non-refundable items

The following are non-refundable once incurred or approved: print or fabrication already ordered for kits and displays, courier or logistics booked for agreed deliveries when you asked us to proceed, custom photography or sample runs already completed, and deposits clearly marked as non-refundable in the engagement confirmation.

Work already started

If briefing workshops, artwork production, versioning, or fabrication management has begun, fees covering completed stages remain due. We will itemize completed versus remaining work and refund only unused prepaid amounts where applicable.

Purchased materials

When promotional materials are printed or fabricated through partners on your instruction, those material costs are non-refundable after the production order is placed. Unused digital design files already delivered remain available to you under the engagement terms.

Deposits

A deposit may be required to reserve production capacity or begin design. Deposits are applied to the final fee. Deposits become non-refundable when stated in the confirmation or when cancellation falls inside the short-notice windows above.

Rescheduling

You may request to reschedule design kickoffs, production milestones, or training once without penalty if you give at least five (5) days’ notice and mutually available dates exist within thirty (30) days. Further reschedules or shorter notice may incur a rescheduling fee reflecting studio and partner adjustments.

No-shows

If required client contacts or brand approvals are not available at agreed review times without timely notice, that milestone may be treated as delivered for billing purposes. We will offer one makeup slot when commercially reasonable; additional attempts may be re-quoted.

Refund process and timing

Email hello@systemsignalbase.digital with your engagement reference, reason, and preferred contact number. We confirm eligibility within five business days. Approved refunds are processed within fourteen (14) business days using the original payment method when possible, or another mutually agreed method such as bank transfer in Thailand.

Exceptions

If a printer or fabricator delay outside either party’s control blocks delivery, we will attempt to rebook production or convert remaining work to a digital-only handoff. If neither is possible, unused prepaid fees for undelivered production management are refundable. Force majeure events may pause timelines without penalty to either party.
